Incorporation and bylaws. -- 1954-1975. -- 10 cm of textual records. -- Series consists of incorporation documents of the Calgary Philharmonic Society, the reports and application leading up to the incorporation, and a complete set of bylaws and amended bylaws from incorporation to 1975.

Series 2

General managers' files. -- 1960-1987. -- 75 cm of textual records. -- The General manager handled the day-to-day affairs of the Calgary Philharmonic Society and served in an advisory capacity on all committees. He determined feasible short- and long-term objectives and was responsible for the smooth operations of the orchestra and staff. -- Series consists of the General managers's correspondence and day files. Includes some day files of the Administrative manager and Assistant administrative manager.

Series 3

Society members. -- 1954-1986. -- 75 cm of textual records. -- The society members met once a year at the Annual General Meeting or, in very unusual conditions, at extraordinary / special meetings. The members of the Board of Directors, which is responsible for running the affairs of the Calgary Philharmonic Society, are elected from the society members. -- Series consists of minutes of annual and extraordinary meetings, which include presidents' reports, general managers' reports, and auditors' reports.

Series 4

Board of directors. -- 1954-1986. -- 1 m cm of textual records. -- The Board of directors consisted of elected and co-opted representatives, and was responsible for the affairs of the Calgary Philharmonic Society. They determined policy, raised funds and elected the executive officers. -- Series consists of minutes, correspondence, and records kept by executive officers.

Series 5

Committees. -- 1958-1988. -- 1.8 m of textual records. -- Committees were set up by the board to aid the Calgary Philharmonic Society through fundraising, strategy, planning, and providing recommendations related to future directions. Some committees were longstanding while others were struck for a specific short-term purpose, and subsequently dissolved. For other committee records, see Series 11, 12, 13, and 14 -- Series consists of minutes and correspondence for these long-term committees: Executive, Funding, Audience development, Planning, Music and programming, and Finance. The Finance committee records include financial statements and general ledgers. Also consists of minutes and correspondence for these short-term committees: Benefit, Management, Conductor selection, Subscriber, Orchestra, Box office, Hosting, Nominations, and Reviews.

Correspondence. -- 1954-1977. -- 3 m of textual records. -- Series consists of the day-to-day correspondence of the Calgary Philharmonic Society, and includes information about other orchestras, post-secondary institutions, special promotional events, companies and organizations associated with the Society, educational programming, touring, subscribers, and donors. Promotional material. -- 1913-1978. -- 50 cm of textual records. -- 116 photographs. -- Series consists of public relations material including promotional publications, mailings and handouts for the public, extensive newspaper clippings, photographs, press releases, and programs of concerts. The programs often list orchestra members, the Society's corporate structure, corporate and private sponsors, and general information regarding the orchestra.

Series 9

Association of Canadian Orchestras. -- 1977-1985. -- 25 cm of textual records. -- The Association of Canadian Orchestras was a non-profit organization serving and representing the country's professional, community and chamber orchestras. Founded in 1972, its purpose was to communicate the needs and services of its membership to all levels of government, the agencies, business, and the public; to assist in the development of Canadian orchestral life through the sharing of resources and expertise; to encourage Canadian musicians and composers; and the improvement of musical training. John Shaw, the General manager of the Calgary Philharmonic Society, served both on the Association of Canadian Orchestras board and as president. -- Series consists of administrative records of the Association.

Correspondence. -- 1978-1988. -- 1.75 m of textual records. -- Series consists of the day-to-day correspondence of the Calgary Philharmonic Society, including extensive material related to Alberta Culture, Canada Council grants, and the development and construction of the Calgary Centre for the Performing Arts. Series 11

Production. -- 1976-1988. -- 1.75 m of textual records. -- The Production department handled everything directly concerning the orchestra. It was responsible for the physical production of every Calgary Philharmonic Orchestra event, as well as drafting budgets; booking and producing all promotional and community concerts; all run-outs and tours; carrying out auditions; liaising with Calgary Centre for the Performing Arts facility management department; and participating in programming for specific concert series. -- Series consists of day files of Production department staff, committee records, and alphabetically-arranged correspondence related to union records, school concerts, schedules, touring information, concert information, Banff Centre, audition material, etc. Includes musician correspondence and contracts, conductor correspondence, and payroll registers.

Marketing. -- 1974-1988. -- 12.5 cm of textual records. -- The Marketing department handled promotion and public relations for the Calgary Philharmonic Society. -- Series consists of Marketing staff day files, committee records, and alphabetically-arranged correspondence, which includes newspaper clippings, posters, press releases, promotional material, and advertising files. Also consists of files related to guest artists, which include contracts and biographical information.

Development. -- 1978-1989. -- 25 cm of textual records. -- The responsibilities of the Development department were to obtain and supply funds from corporations and individuals to support the Calgary Philharmonic Society's activities, and to aggressively pursue new sources of funding through fundraising campaigns. -- Series consists of Development staff day files, committee records, and alphabetically-arranged correspondence files which include information about sponsors, donors, and funding levels.

Special events. -- 1978-1990. -- 2.75 m of textual records. -- The Special events department handled the special promotional events held by the Calgary Philharmonic Society. -- Series consists of Special events coordinator day files, committee records, and alphabetically-arranged correspondence about special events such as car raffles, casinos, galas and auctions. Includes information on events held during the 1988 Olympics, and extensive records about on the Wonderland of Light events.
