Booking School Programs FAQs
How do I book a school program?
For all booking requests and program information, please call 268-4110, Monday to Friday, 8:00am to 4:00pm.
When should I book?
All programs must be booked at least two weeks in advance.
What do I need to book a school program?
Please have the following information ready at the time of booking:
- Credit card number and expiry date - The credit card will only be charged if an alternative payment is not provided upon arrival or if less than two weeks' notice is given to cancel or reschedule a program or visit.
- Title of program
- Preferred date(s) and time(s) - when planning the time required for a school program, add at least fifteen minutes for arrival and fifteen minutes for departure
- Grade, number of students, number of special needs students, number of adult supervisors, and any special requests
A confirmation letter and information package will be sent to the school. Please review the information in this package and fax us the signed Bookings Agreement Form. If you do not receive this package please contact the Bookings Office. Your booking will not be confirmed until we have received the signed bookings agreement form.
Additional travel costs may apply to school outreach programs held outside Calgary city limits.
When should we arrive for our program?
Please arrive 15 minutes before your scheduled program. If delayed, call (403) 268-4110. If you arrive more than 30 minutes late, your program will be cancelled and you will be charged $70 cancellation fee.
How do I cancel or reschedule a program?
Cancellations or rescheduled programs must be confirmed in writing by Glenbow bookings staff at least two weeks prior to your arrival date otherwise a late adjustment fee of $70 per guided program or guided visit per class will be charged to the credit card provided at the time of booking.
How many students can participate in a program?
A maximum of 30 students per program is allowed. Please do not combine classes as it compromises the quality of the educational experience for your students.
What should we bring to the museum?
Please bring lunch bags and necessary supplies only. Due to limited space student backpacks are not allowed in the museum. If sketching or writing, please provide students with a hard surface to write on (journals, notebooks, etc.) Clipboards and pens are not allowed in the galleries.
Can we visit the museum without participating in a program?
Self-guided visits are no longer available. You can book a Glenbow Discovery Adventure which is a two-hour guided visit, led by a Glenbow Gallery Guide, which allows students to explore the Glenbow's many galleries and reflect on their experiences through sketching and journaling.
How many adult supervisors do we need?
A ratio of one supervising adult to five students is required. Supervising adults are expected to stay with their group at all times. Additional adults accompanying the group are required to pay the adult group admission fee, except when required for special needs students.
What is the Discovery Room?
The ARC Discovery Room is a large, open studio with hands-on activities related to the special exhibition. School group bookings to the ARC Discovery Room are available but must be booked two weeks in advance. These exclusive visits are available for groups up to 30 students for 45 minutes Monday - Friday mornings. The cost of this exclusive visit is $30 plus admission to the museum. The ARC Discovery Room is not open to school groups unless a booking is made in advance.
What do I need to prepare before our visit?
Please discuss museum rules with your students and provide them with name tags. Museum interpreters like to refer to students by their names! A welcome package detailing these rules and a name tag template will be sent to your school with your confirmation letter. Please copy these rules and distribute to your adult supervisors. Some programs include a pre-visit information and activities package which will also be sent out with your welcome package.
How do we pay?
Payment for programs is required on the day of the program. Please be prepared to pay by cash, cheque, debit, Visa, MasterCard or American Express. If payment is not provided the day of the program, fees will be charged to credit card provided at the time of booking.
Where can we eat lunch?
Limited lunchroom accommodations are available at Glenbow Museum and must be booked in advance. Groups may also eat lunch outdoors at Olympic Plaza or indoors at Devonian Gardens or City Hall Atrium. Hallways outside Glenbow's doors (Telus Convention Centre concourse) are not available for lunches.
Can we buy lunch at Glenbow Museum?
Student lunches are available for pre-order from Manny's Cafe (located in the Telus Convention Centre concourse) for $5 per lunch. Call 701-2888 for ordering information.
How do we get to the Glenbow Museum?
Glenbow Museum is located at 130 - 9th Avenue SE. There is a vehicle drop off/pick up lane on 9th Avenue between Centre Street and 1st Street SE.
